1. Why is travel distance important?
To calculate the travel allowance, your employer uses the travel distance between your home and your place of work and/or business destination. This is based on the one-way travel distance in kilometers.
2. How is the travel distance calculated?
- The travel distance is determined as the sum of the separately rounded outward and return journeys.
- The method of rounding (e.g., always up or down) is determined by your employer.
3. Can I adjust the calculated travel distance?
Yes, as a user, you can adjust the distances calculated by the system.
- This is possible, for example, if your actual route structurally deviates from the automatically calculated route.
- When making an adjustment, you must always provide an explanation so that your employer understands the reason for the change.
4. Where can I see my travel distance?
- In the Gaiyo App and Portal, the calculated distance is automatically displayed when creating a claim.
- There you will see the rounded distance used for the reimbursement.
5. Who determines the rules for calculation and rounding?
The final method for rounding kilometers and approving adjustments is determined entirely by your employer.
In short: the travel distance is calculated automatically, rounded according to your employer’s rules, and if necessary, you can make an adjustment yourself, provided you substantiate this with an explanation.
